Deposit & No-Show Policy

At Subtly You, every appointment is carefully planned so we can offer you the highest level of care, attention, and safety. To protect our time and ensure fairness to all patients, we have a deposit and no-show policy in place. These policies allow our clinic to run smoothly and ensure that appointment times remain available for those who truly need them.


1. Treatment Deposit Policy

To secure any treatment appointment, we require either a $75 deposit or a valid credit card on file at the time of booking.

This ensures:

  • Reserved, dedicated time with your cosmetic nurse

  • Fairness and equal access for all patients

  • Proper preparation for your visit

  • Reduced late cancellations and no-shows

Your deposit will be fully applied toward the cost of your treatment at your appointment.

Refunds & Transferability

Deposits are non-refundable, but:

  • They may be transferred to a new appointment if proper notice is provided (see below)


2. Cancellation, Rescheduling & No-Show Policy

We understand that life happens. If you need to cancel or adjust your appointment, we simply ask for adequate notice so we can offer that time to another patient.

48-Hour Notice Required

Cancellations or rescheduling requests must be made at least 48 hours in advance.

If less than 48 hours’ notice is given:

  • Your $75 deposit is forfeited, and

  • A new deposit (or valid credit card on file) will be required to rebook

No-Shows

A “no-show” is defined as failing to arrive for your appointment without any notice.
No-shows result in:

  • Full forfeiture of the $75 deposit

  • A new deposit required to book future appointments

  • Repeated no-shows may result in restricted ability to book during peak times


3. Late Arrival Policy

To respect all patients and maintain treatment quality:

  • Arrivals more than 10 minutes late may need to be rescheduled

  • This will be treated as a late cancellation, and the deposit will be forfeited

We will always do our best to accommodate you without compromising safety or care.


4. Appointment Reminders

To support your schedule, you will receive:

  • Email reminders

  • SMS reminders

  • App notifications (for those using our Subtly You patient app)

These reminders are a courtesy. Patients are ultimately responsible for attending their scheduled appointments.


5. Why These Policies Exist

These policies maintain fairness, respect our providers’ time, and ensure that patients who are waiting for care can access appointments sooner.
Cancellations and no-shows significantly impact clinic operations and reduce availability for others.

Our goal is simple: to provide safe, uninterrupted, high-quality care to every patient.


6. How to Cancel or Reschedule

You may cancel or reschedule using any of the following methods:

  • Replying directly to your confirmation email

  • Sending us an SMS

  • Using your Subtly You patient app

  • Calling the clinic at 519-998-5043

Important:
Please ensure you receive a cancellation confirmation notice.
If you do not receive one, your appointment has not been cancelled. In this case, we ask that you call the clinic directly at 519-998-5043.

We kindly ask that you do not use social media DMs for scheduling changes, as they are not monitored for time-sensitive communication.
